The Core Difference
Word (.docx) is a format designed for editing. PDF is a format designed for sharing. Understanding this distinction makes the choice obvious in most situations.
Use Word When...
- The document is still being written or revised
- Multiple people need to track changes and leave comments
- You need to update the content regularly
- The recipient needs to fill in template sections
Use PDF When...
- The document is final and ready to share
- Formatting must look identical on all devices and operating systems
- You want to prevent easy editing
- You're submitting to an official process (tax authority, court, employer)
- You're sending contracts, invoices, or certificates
Converting Between Formats
The good news: you're never locked into one format. Use Word to PDF to finalise a document, and PDF to Word to get an editable version back when you need to revise.
What About Google Docs?
Google Docs is excellent for collaboration during drafting. When you're ready to share a final version, export to PDF (File → Download → PDF Document) to lock in the formatting.
